When is a staff request confirmed as a booking?

Learn when a staff request becomes a confirmed booking through Quarterdeck, including what makes a request non-binding, when a booking is secured, and what payment is required at that stage.

When is a staff request confirmed as a booking?

A staff request is not confirmed as a booking when you first submit it. A booking is only confirmed once Quarterdeck confirms it in writing and you have paid the required deposit or other amount due at that stage. Until both of those things have happened, the booking is not secured.

A request is not the same as a booking

Submitting a request is free unless Quarterdeck expressly states otherwise. It allows Quarterdeck to review your brief, assess availability and suitability, and decide whether it can proceed. A request does not create a binding booking, does not guarantee availability, and does not oblige Quarterdeck to accept it.

Quarterdeck may need more information first

Before confirming a booking, Quarterdeck may ask for more details about the role, dates, location, service expectations, accommodation, travel, guest profile, or legal and compliance requirements. This is part of the assessment process and helps Quarterdeck determine whether a suitable Staff Member is available.

What makes the booking confirmed

A booking is only secured when:

  • Quarterdeck has issued a Booking Confirmation in writing

  • you have paid the required deposit or other amount due at that stage

If either of those steps is missing, the booking is not yet secured.

Does Quarterdeck have to fill every request?

No. Quarterdeck does not guarantee that a suitable Staff Member will be available for every request, and no obligation arises on Quarterdeck to fill a request unless and until it issues a Booking Confirmation. Quarterdeck may also decline a request, refuse a proposed booking, or withdraw a proposed Staff Member before the booking is secured where necessary for operational, legal, regulatory, safeguarding, safety, suitability, availability, or commercial reasons.

What payment is usually required to confirm the booking?

If you proceed with a booking, the usual position is that a 50% deposit of the Booking Price is required to secure it. If the Start Date falls within 30 days of Booking Confirmation, the full Booking Price may be due immediately or within a shorter period specified by Quarterdeck.

In summary

A staff request becomes a confirmed booking only when Quarterdeck confirms it in writing and the required payment has been made. Before that point, it is still a request, not a secured booking.
